EVOKE Digital Agency

Privacy policy

Effective from 6 November 2026

Who is responsible for your information?

EVOKE Digital Agency is registered with the Netherlands Chamber of Commerce under KVK number 80278035. EVOKE is responsible for the personal information described in this notice. Our business address is Parelsnoer 69, 3162 VK Rhoon, the Netherlands. Our VAT identification number is NL003417449B83.

For privacy questions or requests, email info@evoke-agency.com.

This notice covers evoke-agency.com, agency enquiries, creator and partner applications, and introductory or partnership calls arranged through EVOKE. If we work together, our agreement and any relevant data-processing arrangements also explain how information is handled during that work.

Information we collect and where it comes from

We receive information directly from you when you use our forms, email us, share work samples or book a call. We may also receive relevant professional contact information through an introduction or referral, or review the business website, portfolio or public professional profiles you share with us. If someone introduces you, we will explain the source when we first contact you, unless you already have that information.

  • Client enquiries: your name, work email, phone number, brand name, website, monthly advertising-spend range, the support you are looking for, your current business challenge and, if provided, when you would like to start.
  • Creator applications: your name, email, phone number, city and country, languages and relevant accent, content types, preferred categories, deliverables and a link to a short speaking-to-camera video. You may also share portfolio or social-profile links, on-location preferences, rates, turnaround time, relevant experience or filming details, a portrait-photo link and an age group. Your video, photo and portfolio may contain your image and voice. We use these to understand your content style and suitability for relevant projects.
  • Agency and freelancer applications: your name, work email, applicant type, agency name where applicable, website or professional-profile link, location and time zone, specialisms and collaboration interests. Depending on your answers, we also ask about advertising platforms, managed-spend ranges and availability. You may share a phone or WhatsApp number, pricing, typical clients, case studies and additional notes.
  • Calls and correspondence: the details you provide to schedule a meeting, your correspondence, meeting arrangements and relevant business notes.
  • Website use: technical information used to deliver and protect the website, such as IP address, browser and request information. Tilda also provides limited website statistics without analytics cookies. These statistics can include page addresses, referring pages, browser and device information and a browser/device identifier derived for statistics. Rejecting Google Analytics does not disable Tilda’s separate statistics. Google Analytics loads only with your permission. See our cookie policy for the technologies, retention periods and choices that apply.

Fields marked with an asterisk are required for the relevant form. Other fields are optional. These details are not required by law, but a form cannot be submitted without its required fields. You can contact us by email instead. We request a phone number in the client and creator forms for contact about the enquiry, project coordination or call arrangements.

Please share relevant business information only. Do not include passwords, customer lists, payment-card details, health information or other sensitive personal information in an application or open-text answer. Only share work, images and information that you are entitled to share. Applying to our creator network does not itself give EVOKE permission to publish your image or use your work in advertising; any such use will be agreed separately.

What happens when you continue to the calendar?

Clicking “Continue to calendar” submits your answers to EVOKE through Tilda. EVOKE receives those answers even if you do not go on to choose a time or complete a booking. We use them to understand your request, prepare for a conversation and follow up about that request.

After a successful submission, the Cal.com calendar becomes available. Your name and email are supplied to Cal.com to prefill your booking details, so you do not need to enter them again in the embedded calendar. EVOKE does not pass your business qualification answers or phone number from its form to Cal.com. You can review the booking details before confirming. A booking is confirmed only after you complete the scheduling steps.

If you use the link to open Cal.com separately, that fallback link contains no entered enquiry details and you may need to enter your booking details there.

Creator and partner application forms submit an application to EVOKE. They do not create a client booking or subscribe you to a newsletter.

Who receives the information?

People working for EVOKE receive access where needed to handle your request, review an application or organise the requested conversation. Tilda supplies our website and forms. Cal.com supplies scheduling. Zoom supplies the meeting service where selected. Our email and connected-calendar providers deliver correspondence, invitations and booking notifications. Google receives limited website-use and event information when you consent to Google Analytics. We do not send your form answers, name, email or phone number to Google Analytics as event fields.

When discussing a specific creator or partner opportunity, we may need to share relevant professional information or work samples with the prospective client or collaborator. We will discuss that sharing with you before making the introduction or presenting your work for that opportunity. We do not publish applications as a public directory.

Service providers may handle information on our instructions and may also use certain information for their own service, security or legal purposes. Their privacy policies explain those separate activities. We disclose information to professional advisers or authorities where necessary for advice, a legal obligation or a legal claim.

International processing

Our services can involve processing outside the European Economic Area. Tilda's published data-processing terms identify a UAE entity and describe processing involving the EU and United States, with European Commission standard contractual clauses for relevant transfers. Cal.com describes US processing and reliance on the EU-US Data Privacy Framework and standard contractual clauses where applicable. Zoom also describes international processing and Data Privacy Framework or contractual safeguards where applicable.

These mechanisms depend on the recipient, service and applicable agreement. Information about the safeguards relevant to your information, and how to obtain a copy, is available by emailing info@evoke-agency.com. Provider information is available in the Tilda data-processing terms, Cal.com privacy policy and Zoom data-protection information.

How long we keep information

Under the retention policy adopted on the effective date above, we delete or anonymise inactive client enquiries, creator applications and partner applications no later than 12 months after the last meaningful contact, unless an active project, a legal obligation or a specific legal claim requires a limited record to be kept longer. We review records and apply deletion across the systems we control. This is a retention policy, not a statement that every provider deletes records automatically.

Tilda's form-storage setting retains submitted form data for 30 days. Copies sent to an inbox, information entered into Cal.com, connected-calendar entries and business notes are separate records. They follow the relevant enquiry or relationship retention rule and are not erased by Tilda's 30-day setting.

We delete unnecessary meeting details when they are no longer useful. If a recording or AI transcript is separately agreed, the raw recording and transcript will be deleted within 30 days of the call, or sooner when no longer needed or following withdrawal where no other lawful basis justifies keeping a limited record. Necessary business notes or an agreed summary follow the enquiry or client-record rule.

If we work together, relevant information moves into our client or partner records and follows the retention arrangements for that relationship. Records required for Dutch tax administration are generally kept for seven years. That requirement does not apply to every enquiry answer or application. Where limited records must be retained for a legal obligation or claim, access and use are restricted to that purpose.

Recording, transcription and AI meeting notes

If we propose recording a call or using AI to transcribe or summarise it, we will explain the purpose, the service used, who can access the result and the retention period before it starts. We will ask for a separate, affirmative choice. Silence or the fact that you booked a call is not consent. You can decline and continue the conversation without that processing, or ask us to stop it during the call.

You can withdraw consent by telling us during the meeting or emailing info@evoke-agency.com. Withdrawal does not affect processing that was lawful before you withdrew it.

Your choices and rights

Depending on the circumstances, you can ask to access or correct your personal information, have it erased, restrict its use, or receive information you supplied in a portable format. You can object to processing based on legitimate interests. Where we rely on consent, you can withdraw it without affecting earlier lawful processing.

Email info@evoke-agency.com to make a request. Where there is reasonable doubt about identity, we may ask for proportionate information to confirm it. We respond without undue delay and normally within one month. If a lawful extension is needed, we will explain why within that month. Requests are normally free.

You can complain to the Dutch Autoriteit Persoonsgegevens, or the competent data-protection authority where you live or work.

EVOKE reviews enquiries and applications. This process does not make decisions based solely on automated processing that have legal or similarly significant effects on you.

Changes to this policy

We update this notice when the way we handle information changes. The date above identifies the current version. If a change requires direct notice or a new consent choice, we will provide that before the new use begins.
